Introduction to the event planning process:
We appreciate that regardless of whether you are organising a festival for 30,000 people or a community picnic for 50 people, for the event organiser there is always so much to do.
The Nottingham Events booking platform has been designed to ensure an efficient, easy to use and streamlined process, whilst also ensuring that your events meet health and safety, statutory/regulatory and other guidance.
From the events booking platform you can make an initial event enquiry, check the venue facilities, and check availability direct with the Nottingham Events team. Once your initial enquiry is approved, we will contact you with a dedicated case reference number, initial venue quotation and next steps.
As your plans for the event progress, using our easy-to-use platform, you will then be able to submit your event application, upload all your event documentation and apply directly via the platform (or be signposted) to seek relevant permissions and permits that may be required to stage your event.
Depending on the scale of your event and the activity being staged, we may also share information with our multi-agency partners such as the emergency services, as well as relevant departments of Nottingham City Council. We will inform you whether we require any further information or amendments to your event plan before being granted permission to stage your event.
As you progress through the application, you will see guidance contained within pop-up boxes to assist you. If you are a first-time event organiser or planning a larger event than you have in the past, we have included all the information in a single guide (see sidebar for document links), this may assist you in understanding what may be required before you commence with the application process.
The guide covers a mix of both statutory / regulatory requirements, best practice guidance, as well as providing additional information to help you meet our venue Terms and Conditions.
Information and guidance have been sourced from a variety of internal Nottingham City Council departments, as well as external organisations where relevant. In many cases we have only provided an edited summary to help you briefly understand your obligations as an Event Organiser. Where possible, links have been provided to more detailed information. We will endeavour to keep all links to external sites up to date, however if you notice a broken link, please let us know.
In many cases we refer to the best practice advised published within the Purple Guide for health, safety and welfare at music and other events. The Purple Guide is an online resource written by the Events Industry Forum in association with many organisations and trade bodies, including the Concert Promoters Association, Local Authority Event Organisers Group and UK Crowd Management Association. The Health and Safety Executive was also consulted in sections that refer to workplace health and safety. A subscription to access the full content of the Purple Guide website at www.thepurpleguide.co.uk costs £30 plus VAT for the year for a single user.
